2) What we collect and why

A) Private notes (“Send a private note”)

  • What we collect: the message you submit, and any name/email you provide (optional). Your IP address may be included in the email we receive.

  • Why: to receive and respond to your message, prevent abuse (rate-limiting by IP), and maintain site security.

  • Legal basis: legitimate interests (running the site and responding to your request).

B) Public comments on notes

  • What we collect: your comment, name/email if you provide them, and (like most WordPress sites) IP address and user-agent for spam/abuse prevention.

  • Why: to publish and moderate comments, fight spam, and keep the site safe.

  • Anti-spam: we use simple measures (a hidden “honeypot” field and a short time-on-page check).

  • Legal basis: legitimate interests (operate and moderate a community space).

  • Auto-approval: if you’ve had a previously approved comment under the same email, new comments may auto-publish.

C) Notes search (on the /today page)

  • What we collect: when you press Enter or click Search, we log your query, the page (e.g. /today), the UTC timestamp, your IP address (full), your user-agent, and (if logged in) your user ID.

  • Why: to understand what readers look for, improve content, and deter abuse.

  • Legal basis: legitimate interests (analytics and site security).

  • Retention: we keep the last 500 entries and automatically discard older ones.

D) Server & security logs

  • What we collect: standard web/server logs may include your IP address, timestamps, and pages requested.

  • Why: to operate, secure, debug, and prevent abuse of the site.

  • Legal basis: legitimate interests (security/operations) and legal obligation where applicable.

E) Cookies & similar tech

  • Strictly necessary: WordPress may set cookies if you leave a comment (to remember your details next time).

  • No marketing cookies are set by us.

3) How long we keep your data

  • Private note emails: kept in our mailbox for as long as needed to handle your message (and longer if required for legal/security reasons).

  • Comment data: kept as long as the comment remains published or is needed for moderation records.

  • Search log: rolling log of the last 500 searches (older entries fall off automatically).

  • Rate-limit entries: temporary counters tied to your IP (typically expire within 1 hour).

  • Server logs:  [90 days]

4) Who sees your data (recipients)

  • Hosting provider: stores the website and server logs.

  • Email service: delivers private-note emails to us.

  • Anti-spam (in-house): we currently use simple on-site checks (no third-party spam service).
    We only share data when necessary for hosting/operations, legal compliance, or to protect our rights/users.

5) Where your data is processed

Our hosting and email may be located in UK/EU/US.
If we transfer data outside the UK/EU, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent.

6) Your rights (UK/EU)

You have the right to:

  • Access your data and get a copy

  • Rectify inaccurate data

  • Erase data (where applicable)

  • Restrict or object to processing (especially where based on legitimate interests)

  • Portability (for data you provided to us)

  • Withdraw consent (where processing is based on consent; note most of our processing is based on legitimate interests)

7) Children

This site is not intended for children under 16. We do not knowingly collect personal data from children.

8) Security

We use reasonable technical and organisational measures, including TLS/HTTPS, basic rate-limiting, and moderation tools. No method is 100% secure, but we take security seriously.

9) Do Not Track / automated decision-making

We do not respond to Do Not Track signals and do not engage in automated decision-making that produces legal or similarly significant effects.

We may update this policy from time to time. Material changes will appear on this page with a new “Last updated” date.
